1. Minimum Stay – We have a 2 night minimum on Friday & Saturday and require those nights to be booked together. There are some weekends in June-October that have a 3 night minimum due to it being our busy season. From November, 26th- February 1st we typically only require 1 night on Friday and Saturdays due to the slow season (with the exception of NYE weekend which is a 2 night minimum). *Email manager@russellnashville.com for possible exceptions. If your stay does not follow these guidelines and was not yet approved, you may be subject to cancellation. If your reservation dates are during a big event or holiday, additional nights/costs may be required and acceptance for these reservations is at the discretion of the hotel.

    2. Photo ID – All guests that book with us must send a picture of their photo ID or passport to verify their information and prove they are over the age of 21. Drivers license numbers are allowed to be covered in the picture (we are only checking the name, DOB, and expiration date). We do this to prevent anyone from booking with a stolen credit card and to ensure all guests are 21 years of age or older.

    3. Noise Policy – In an effort to make sure every guest has an amazing experience and a great night’s sleep, we have a strict noise policy for the rooms and the lobby from 10:00 pm – 8:00 am. Please refrain from yelling, playing loud music, or making any large or unnecessary noises between those times. The Russell reserves the right to fine guests up to $150 and are subject to eviction after the 2nd complaint.

    4. Lobby Rules – Because we are located in a neighborhood, we can not host any events or gatherings in the lobby for anyone but our guests. (This includes the podcast room and photo booth as well.) You may still have friends come and visit you but please do not bring any more than 4 guests at a time. Also, please make sure to respect our quiet hours and other guests while using these spaces.

    5. Cancellations – Please contact our office as soon as possible in the event you must cancel or change your reservation. Event/holiday reservations are non-refundable. To receive a full refund, you must cancel 30 days before your arrival date. If you cancel 29-14 days before arrival, you can receive 50% of the reservation total back. If you cancel with less than 14 days before arrival, your reservation is non-refundable. Refunds will not be given for guests that do not like their room lay out. Please read room details before booking. Refunds will not be given for events that are out of our control. Event/holiday reservations are non-refundable.

      *Our cancellation policy for large group bookings is different from our standard cancellation policy (depending on the # of rooms you book). If you are interested in booking multiple rooms and need more information, please email manager@russellnashville.com.

      **Please note: Before June 16th, 2020 our cancellation policy was as follows:

      You have 48 hours from the time of booking to cancel and receive a full refund (as long as your check in date is more than 14 days away). You can receive a refund of 50% of the total cost if you cancel 14 days before arrival. If you cancel with less than 14 days before arrival, you will not receive a refund.

      This is no longer our policy (due to current events) but if you cancelled or received a credit before this date, this is the policy that applies to your cancellation/credit.

    6. Check-In/ Check-Out – Check in is at 4:00 p.m. and check out is at 10:30 a.m. CST. We operate a completely autonomous hotel without staff or a check in concierge. All check in information, including the key code to access the building and your room, will be sent to you via email the day before arrival. If you are in town before check in, you are welcome to place your luggage in our storage lockers in the lobby and start exploring the city until 4:00pm. If you still need to enter your room before check in or stay past check out, please request this upon booking to inquire if the Russell can accommodate. Please note this special accommodation is at the sole discretion of the hotel. Unavoidable delays may occur so there is a possibility your room may not be ready by your check in time. Your patience will be appreciated.   Note:  Early departures will be charged per the original reservation.

    7. Parking – There is a parking lot across the street exclusive for guests of The Russell.  Each room booked is allotted one parking space. Upon booking please enter the license plate number, color, make and model of your car into your booking form so we can register your car for the dates you will be in town. If you do not have your vehicle information at the time of booking for any reason, please note that you are bringing a car in the booking form and get the info to us as soon as possible. Cars that are not registered before arrival will be towed. Visitors are not permitted to park in the lot and spaces on the street are subject to towing. We suggest visitors use a ride-sharing service to avoid complications.

    8. Ride-Sharing/Livery Vehicles – If you plan on being dropped off at The Russell, please have your driver drop you off in the parking lot directly across the street from our building located at 901 Russell St, Nashville, TN 37206. We cannot impede the flow of traffic in the neighborhood we are in.

    9. Damage/Theft – Guests assume full financial responsibility for damages due to misuse or negligence. Prior to check-out, please report any damages that occurred during your stay. If during your stay you find other items requiring repair, we request that this information be reported to the manager, as soon as possible so that we can continue to maintain each room in excellent condition. The Russell is not responsible for lost, stolen, or damaged items in the hotel or parking lot.

    10. Falsified Reservations – The total number of persons allowed in the room at any time is restricted to the stated limit. Absolutely no events or parties allowed. This includes weddings, wedding parties, and receptions.  Any violators will be evicted without refund. Any reservation obtained under false pretenses will be subject to forfeiture of reservation deposit and/or balance of reservation payment. Guest will not be permitted to check-in.  Note: Units may not be sublet by guest.

    11. Rates/Taxes – Nightly rates are based on room features, max occupancy, size, and season.  Rates can be found listed on our website and are subject to change without notice.  A credit card processing fee, sales tax, occupancy tax, and nightly tax are added to all reservations. *Note: Nashville is a growing city so there is always potential for a change in city/state taxes. Tax changes are out of our control and we are required by law to collect all current taxes on every reservation, regardless of the taxes that were charged when the reservation was made.

    12. Payment Policy – In order to hold/reserve your reservation dates, you must pay at least 50% of the total at the time of booking. The remaining 50% is due and will be charged 30 days from check in. All reservations must be paid in full, 30 days prior to check in. If you would like to use a different card for the 2nd 50%, you must let us know before the due date. If your booking is less than 30 days away, you will pay in full. We accept payment by credit card only.

    13. Hotel Access – The Russell does not contain an elevator for guest use, however guests may use the dumbwaiter to send luggage up to the floor they are staying on if they do not wish to carry it up the stairs. No compensation will be given for dumbwaiter outages. Room changes or refunds will not be given.

    14. No Pets – We enforce a no pet policy. Exceptions may be made under special circumstances (service dog) and must be arranged in advance. If any evidence of a non pre-approved pet is found on the premises, you will be asked to vacate immediately and forfeit all reservation payments. Any evidence of a pet in your room or on the premises may also result in additional charges to your credit card on file.

    15. Non-Smoking Property – All of our rooms at The Russell are non-smoking and smoking is strictly prohibited inside all areas of the property.  Any evidence of smoking found in a room will result in a $150 charge to your credit card on file for additional cleaning and deodorizing.

    16. Housekeeping & Additional Charges – Rates include housekeeping service upon departure only. You are responsible for the cleaning of your room during your stay. You may request a mid-stay clean for an additional fee. Guests will be charged for additional cleaning if any bodily fluids are found in the room upon check out.

    17. Items Left Behind – The Russell is not responsible for personal items left in a unit. If items are found and you wish them returned, there will be a $25 service charge plus shipping costs.

    18. Internet Service/Utilities – All properties have complimentary wifi available. Information for access will be sent via email. No compensation will be given for temporary outage of electricity, gas, water, cable, telephone service, elevator, or internet service. Outages will be reported immediately, and all efforts will be made to have them restored as soon as possible.

    19. Gift Certificates – Gift certificates are non-refundable. Instructions for use will be emailed to the purchaser. COVID gift certificates are non-refundable and expire one year from guests original check out date. Once a certificate is redeemed, standard cancellation policies apply.

    20. Compliance with Local Laws – Guest in the possession, use and occupancy of the Premises agrees to observe and comply with all restrictions, laws and ordinances affecting the Premises or occupancy thereof. Guest further agrees that no use shall be made of the Premises, or acts done which will increase the existing rate of insurance upon the Premises, or will cause a cancellation of any insurance policy covering the Premises.

    21. Luggage Lockers – The Russell offers complimentary luggage lockers for guest use.  The Russell does not assume liability for items left in the luggage lockers and shall not be held liable for any items left unlocked or locked in the luggage locker.

    22. Podcast Room – This space can serve as a work space or a podcast studio. We have microphones and other equipment available for use. If you would like to use our equipment, please email us for scheduling. Guests assume full financial responsibility for damages to any equipment due to misuse or negligence.
